The Position

This role, reporting directly to Admin Services Manager in Strategy Realization Office, is a member of the Administrative Professionals Team (APT) team in PTT.

Job Summary:

In this role you will collaborate and partner with senior leaders, technical leaders, and individual contributors within PTT and PTE to support the enabling of PT network success in support of the PT Performance Promises. This will include administrative partnering, business operations support, and demonstration of the Roche Operating Principles. Success in this role requires a balance of administrative skill, a firm grasp of business context and the ability to translate between business needs and organizational support within a diverse global environment.

Job Duties/Responsibilities:

  • Accountable for foundational administrative activities like calendar management and scheduling of department and team meetings within multiple time zones including calendaring and use of required physical and virtual room reservation systems and the participation of internal and external stakeholders
  • Manage complex scheduling including global summits, department offsites, confidentiality, senior leaders, government officials, etc)
  • Lead and coordinate simple to complex event management activities including agenda creation, vendor management and event support including town halls, sprints, and F2F meetings.
  • Collaborate with strategic event services and town halls, independently lead planning and execution for large scale high visibility events
  • Support and lead communication activities including drafting emails for supported leaders, creating event and meeting agendas and supporting materials, communicating department policy and process information, and solicitation of feedback and surveys.
  • Partner with leaders for strategic communications and with Communications Team to track, manage and prepare critical and strategic communication
  • Influence and support employee and team experience through recognition of milestones (anniversaries, birthdays, life events) coordination of huddles and community driven informal team activities, managing administrative and logistics of onboarding, and robust, consistent support of interviewing process
  • Project manage overall space planning, mastery of and training for technology used for administrative support, and thought partnership/support for overall team engagement assessment and enhancement
  • Support complex, international, and large group travel accommodations and associated expense reporting when appropriate
  • Act as translator by grasping business context and needs and translating into support activities that support department contributions and value generation.
  • Role model, coach, and act as catalyst for network teams
  • Ability to work globally from location agnostic hubs and build relationships with partnered teams, functions, and business units in multiple time zones.
  • Enhance PTT and PTE as enabling functions by building trust and fostering collaboration with other PTx functions driving towards network success
  • Act as go to person for facility and IT service requests, central office supplies process, and remain up to date for all associated training.
  • Lead admin pool, expert knowledge for Roche/GNE IT systems and collaboration tools, create/manage team agreements
  • Manage financial PO, invoice, vendors, SOWs, and contract processes and participate in RFP and vendor selection process
  • Demonstrate professionalism as the internal/external face and liaison of PTT/PTE for stakeholders, partners and recruiting activities and including acting as POC for advanced activities ex: relocation, etc
  • Manage department email distribution lists, print services and shipping/labeling and information and content repositories (gSites, share drives, etc)
  • Has knowledge of lean/agile methodology and tools and uses for continuous improvement and workshop/meeting management.
  • Act as facilitator for lean/agile designed meetings and activities
  • Role models customer centricity by acting with empathy and professionalism to support individual and team needs with appropriate level urgency based on criticality of need
  • Demonstrate discernment and flexibility for unique/non-routine needs and willingness to learn through problem solving
  • Participate in decision making process and act as owner when needed
  • Manage time and effort by actively prioritizing needs and focusing on deliverables through completion
  • Demonstrate high levels of autonomy and help teams prioritize overall work-plate ensuring balanced support and ensuring the “right” work gets done in order
  • Demonstrate pragmatic approaches by following defined processes and remaining flexible when needed to ensure business needs are met with high quality and on time
  • Navigate complex scenarios helping teams to identify solutions, define new processes, and share new knowledge with learning experiences
  • Contribute to an inclusive working environment by remaining open and showing respect and consideration throughout all interactions
  • Work actively to influence DEI advancement throughout the team and department
  • Support change management by remaining open to new ideas and direction and translating emerging business needs into actions within working area
  • Support defining of change management plans and act as change owner/agent as appropriate
  • Actively participating in meetings, promoting new ways of working and improvements to work processes, as well as sharing ideas and support amongst colleagues
  • Contribute and strengthen agile practices within the team, e.g. by taking on occasional scrum master responsibilities, preparing team stand-ups, retrospectives and more

Qualifications: Education, Experience, Knowledge and Skills:

  • A Bachelor’s Degree (or equivalent experience)
  • Proven experience working in progressive administrative roles throughout career
  • Ability to make independent decisions and problem solve without reliance on precedent or supervisory guidance
  • Demonstrated executive presence and exceptional communication skills, written and verbal
  • Ability to be available for support outside normal working hours (including some evenings and weekends)
  • Proactive self-starter who can work independently and anticipate the executive’s needs
  • Excellent judgment with the ability to make critical decisions independently
  • Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting and competing priorities with minimal direction
  • Proven experience supporting multiple leaders in different functions and large organizations
  • Experience working directly with clients (virtually and in person)
  • High level of maturity and works well under pressure
  • Experience supporting a senior executive in a fast-paced and demanding corporate work environment
  • Highly organized with the ability to multi-task and high attention to detail
  • Required to be flexible as and when needed to accommodate the global needs of the company

  • Possess strong meeting planning, coordination, interview scheduling and logistics management for teams and work groups including all-hands and town hall style events
  • Possess strong organizational skills, managing concurrent projects, prioritizing tasks and managing timelines
  • Possess strong logistics skills, ensuring daily business operations are supported, including basic materials purchasing, employee recognition, employee engagement activities and other associated support tasks
  • Strong skill set in supporting executive level management, including managing travel (domestic and international), expenses (Concur) and complex calendar management
  • Strong communication skills including the ability to draft effective executive communications based on limited input.

The expected salary range for this position based on the primary location for this position of California is $91,000- $169,000. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
